Vehicle Management

Automation of transport logistics management processes is especially relevant for companies with their own fleet of vehicles. Such companies need to account for the costs of their own fleet and find ways to optimize them.

The 'Vehicle Management' module allows for solving the entire complex of tasks related to accounting and management of the fleet of vehicles in transportation companies and trade and industrial enterprises with their own vehicle fleet.

Accounting of own vehicles

The system maintains full accounting of own vehicles. For each vehicle, its capacity, loading capacity, model, registration number, date of manufacture, work schedule can be specified, according to which the vehicle can be planned for flights.

Accounting of tires, units, and aggregates

The transport management system keeps accounting of tires, units, and aggregates used in the enterprise. The system controls the wear of each aggregate in accordance with established operating norms. Aggregates can be accounted for as warehouse balances. It is possible to fix the receipt, write-off, or movement of aggregates between warehouses.

Accounting of fuel

The automated transport management system keeps accounting of various types of fuel: gasoline, washer fluids, cooling liquids, etc. For each type of vehicle, its own fuel consumption norms can be filled out according to the specified calculation formula. Fuel costs are further taken into account when forming analytics on total transport costs.
The system provides the ability to register fueling and draining of fuel in order to control changes in fuel balances in each vehicle. Fueling registration is possible in manual or automatic mode by loading data from fuel cards from various filling stations.

Issuance of waybills

To issue waybills, which contain information on fuel consumption, refueling and draining of fuel, initial and final mileage, and engine hours, are used to account for fuel in the automated transport management system. Waybills can be automatically filled out based on data from corresponding sensors installed in the vehicle body. Accompanying documents such as a power of attorney and a route sheet can be issued along with the waybill for the trip. Fueling and draining of fuel are also accounted for in the waybill. Fueling and draining facts can be verified based on tracker data when using satellite monitoring functionality and having the appropriate sensors.

Planned maintenance and repairs

In the developed system of transport management, planning and accounting of planned technical maintenance (TM) and repairs are conducted. Within this block, operations such as tire installation/replacement or installation/replacement of additional equipment installed on the vehicle can also be performed.
For each model of the vehicle, a maintenance schedule is specified. In accordance with this schedule, the system warns about the imminent need for technical maintenance.
In the system, it is possible to plan repairs for each place of work. When carrying out repair and maintenance work, the following can be controlled using the system:

  • Planned and actual time for performing work
  • Used spare parts and their cost
  • The cost of the work itself
  • Installed equipment and tires.

The costs of repair and maintenance can be distributed in accordance with the specified distribution rules for the specified cost items.

Accounting of documents

The transport management system includes accounting for vehicle and driver documents, such as driver's licenses, passports, insurance, etc.
In the "Vehicle Management" module, the validity periods of the documents are tracked and timely notification is provided regarding the need to replace documents that are nearing expiration.
Scanned copies of documents can be attached for each document.
